Job Title: Administrator, Conference & Events Sales
Accountable To: Head of Commercial Operations
Responsible for: Conference & Events Administration
Somerset County Cricket Club is a highly successful and varied organisation that hosts almost 50 days of First Class cricket, numerous Conferences and Events throughout the year as well as having an important role in the local community. We have 5,500 Members and crowds of 7,500 supporters for some matches.
We require an individual with fantastic administration skills who will support our Conference & Events Sales team by assisting with general administration duties. This will include data cleansing, performing mail merges and overseeing the post-booking process from finalising the customer requirements, communication with our Event Delivery team to reconciling the cost for invoicing. The person must also be willing to learn about the Ticketing and Membership processes at the Club, answering the general telephone line during busier periods.
As such the person will be required to develop an excellent relationship with the internal Commercial, Catering and Account staff as well as with our Corporate Customers. This is a demanding but varied role within a small and close knit team at a Club which has a strong ethos and camaraderie. Please note there will be some weekend and evening work in line with our fixture list.
Principal Responsibilities and Tasks
-> General Administrator to our Conference & Events Sales Team
-> Oversee the post-booking process including finalising event requirements, ensuring the event information is correct at handover to the delivery team and working with the delivery team to ensure the correct information is handed back for invoicing.
-> Ensure the Corporate databases are kept clean and up to date, including the inputting and formatting of data.
-> Work closely with other members of the wider team to ensure the correct communications are sent at the appropriate time.
-> Be a proficient user of Microsoft office, particularly Word and Excel to complete mail merges and data analysis as directed by the Conference & Events Sales team.
-> Become a point of contact for all Conference and Event enquiries to assist the Sales team by taking messages and dealing with general calls as appropriate.
-> On match days, be based in the Reception area of the New Somerset Pavilion to “Meet and Greet” members, supporters and corporate guests, answering general Club enquiries and providing help and directions to those in need.
-> Other duties as directed by the Chief Executive or Head of Commercial Operations.
Salary: Competitive, dependent on experience
